Event Booking ProcessProcedure
  • A booking becomes confirmed only after the customer accepts the quote and pays the required deposit.
  • The booking must then be marked as Confirmed in the booking tracker.
  • The customer should receive written confirmation after payment has been recorded.
  • Final guest numbers are requested seven days before the event.
Cancellation PolicyPolicy
  • Cancellations more than 14 days before an event qualify for a refund of the deposit less any non-refundable costs already incurred.
  • Cancellations within 14 days do not automatically qualify for a deposit refund.
  • Exceptional circumstances should be referred to a manager before responding to the customer.
Dietary Requirements GuideGuide
  • Dietary requirements should be confirmed when the customer provides final guest numbers.
  • Allergies must be clearly separated from preferences.
  • Severe allergy information should be flagged to the kitchen team.
  • Staff should never guarantee an allergen-free environment unless this has been explicitly confirmed.
New Enquiry ChecklistChecklist
  • Before preparing a quote, confirm the event date, location, estimated guest numbers, type of event, catering requirements, dietary information where available and customer contact details.
  • Budget can be requested where useful but is not mandatory before an initial quote discussion.
