2. Purpose of this manual
This manual explains:
- what categories of records allmi holds
- which records are publicly available
- how to request access to a record
- how allmi processes personal information
- who may receive personal information
- whether information may be processed outside South Africa
- the general security measures used to protect personal information
3. PAIA Guide
The Information Regulator has published a guide explaining how to exercise rights under PAIA and POPIA.
The guide is available from the Information Regulator and through its website.
A person may also contact allmi at support@allmi.online for assistance relating to a PAIA request.
4. Records available without a PAIA request
The following records are publicly available where published on the allmi website:

No formal PAIA request is required to access these records.
5. Records available under other legislation
Where applicable, allmi creates or retains records in accordance with South African legislation including:
- Promotion of Access to Information Act 2 of 2000
- Protection of Personal Information Act 4 of 2013
- Income Tax Act 58 of 1962
- Tax Administration Act 28 of 2011
- Value-Added Tax Act 89 of 1991, where applicable

7. How allmi processes personal information
allmi processes personal information primarily to:
- respond to enquiries
- determine client fit
- arrange meetings
- prepare proposals
- enter into and perform contracts
- deliver agreed services
- communicate with clients
- invoice and maintain business records

allmi does not intentionally collect special personal information or children's information through its Fit Check.
9. Recipients
Personal information may be supplied where reasonably necessary to categories of recipients such as:
- hosting and infrastructure providers
- email providers
- scheduling and communication providers
- cloud and collaboration services
- AI service providers where appropriate
- accounting or professional advisers
- authorities where disclosure is required by law
Where a provider acts as an operator for allmi, appropriate contractual safeguards will be maintained as required by POPIA.
10. Cross-border processing
allmi operates remotely and uses cloud-based services that may process or store information outside South Africa.
Transfers of personal information outside South Africa will only take place where permitted by section 72 of POPIA.
11. Security safeguards
Depending on the information and risk involved, safeguards may include:
- strong authentication
- access controls
- data minimisation
- secure cloud infrastructure
- software and security updates
- restricted access
- provider security reviews
- backups where appropriate
- incident-response procedures
12. How to request access to a record
A request for access to a record of allmi must be submitted using the prescribed PAIA Form 2: Request for Access to Record.

The requester must:
- identify the record requested
- provide sufficient identifying information
- state the right they are seeking to exercise or protect
- explain why the requested record is required to exercise or protect that right
- specify the preferred form of access
Prescribed fees may apply.
allmi will deal with a valid request within the periods required by PAIA.
If a request is refused or is not dealt with within the required period, the requester may lodge a complaint with the Information Regulator or exercise another remedy available under PAIA.
13. Availability of this manual
This PAIA Manual is available:
- on the allmi website
- by request to support@allmi.online
- for inspection at allmi's principal place of business during normal business hours by prior arrangement
- to the Information Regulator upon request
14. Updates
This manual will be reviewed and updated where allmi's records, processing activities or legal obligations materially change.
